Stanford Parent Delivery Checklist
For Cookies, Cakes, Brownies, Cupcakes, Tarts & Balloons
o A red bag for each cookie or brownie delivery when students are not present in their room.
o Bring the cards for the deliveries & “Sorry I missed you” notes• Get in the dorm:
o Use the directory (organized by student last name) at the dorm door to call the room of your recipient in order to be let into the dorm, or ask a student for help by going around to a common room window and looking for someone to help let you in. Be patient on weekends.
o Don’t ask a Resident Fellow or Resident desk staff to help you get inside. Ask a student instead.
o Dorm access card is available on Mon-Fri at the Lasuen Housing Front Desk, 572 Mayfield Ave.
• Deliver to the room:
o If student is in the room:
▪ Tie balloons to the door knob or leave in front of door.
▪ Place brownie or cookies in red bag and hang on door knob.
▪ Put card under the door or attach it to balloons or red bag.
▪ Put cakes, cupcakes or tarts in the dorm refrigerator which is typically on the

them that you left something for them (at their door and/or dorm kitchen) and letting them know your name so they can contact you if the items aren’t found. Ask them to send reply when they receive items.
“Hi, my name is ______, and I’m a volunteer for the Parents’ Club. I’m sorry I have missed you today, but your (birthday) surprise is ___location______. (Happy Birthday!!!, if relevant). If you have any questions, my phone number is ________.”

- Make cards with message from parents to students
- Write envelopes with student name, dorm, room # & goodies listed
- Day before delivery, text graduate students to see if they can meet for delivery or know where to
leave goodies because it is more difficult to access their housing. Sample text - “Hi, I’m from the Parents’ Club, and I have a surprise for you. I’ll be on campus tomorrow between ___pm and ___pm. Where will you be at that time for me to get this to you?” - You can also contact other students in advance to notify that they are receiving a surprise delivery. Some volunteers have found it is easier when students can meet us during our delivery window.
- Map out a delivery route
- Consider bringing a friend to help sit in the car, given the parking challenges.
- Additional supplies and a temporary parking pass are located on-campus at Sara Jackson’s, 735
Alvarado Court, Stanford.
Please return parking pass after deliveries. If supplies are low, inform Volunteer Delivery
Coordinator. Green Supply container is to the left of her front door.
Bring on delivery day:
- “Sorry I missed you” notes when you cannot deliver to the student
- Paperwork for specific deliveries
- Useful instructions: Dorm List Tips and Delivery Checklist
- Red Stanford bags and plate kits as needed for deliveries
- Garbage bags for each balloon delivery (easier to manage balloon bouquet when placed in a bag). Large reusable bags to transport smaller bakery items such as cookies, brownies, etc.
- Parking pass (put on your dashboard)
- Parent name badge
Pick up baked items between 11:00 am - 3:30 pm, Monday – Saturday
- Woodside Bakery, 325 Sharon Park Drive, Menlo Park, 650 854-6207 (next to secret Safeway)
- Compare your delivery paperwork with the items at the bakery and check that everything is
correct, including the cake message. - On the bakery invoice, initialize next to items that you take. Another volunteer may pick up other
items and will sign for those. Sign the bottom of the invoice. - Double check items that you pick up. Some students will receive more than one product type
and several items of the same product type.
Deliveries
- To find each dorm, use the dorm list and a Google maps (https://campus-map.stanford.edu) or use the ‘iStanford’ app on your phone.
- Put parking pass on dashboard and park only in:
o Loading Zones that don’t specify ‘commercial plates required’
o Paid lots (you don’t pay) at Wilbur underground and meters in Governor’s Corner
o Residential lots that say EA, ES, SJ, SO or WE
o Do not park in a Service Space or in lots labeled A or C, unless it is after 4:00 pm or on
a weekend - Once parked bring with you:

- ▪ Ask to take a photo of the student with the item(s) and include any friends available.
- ▪ Email photo to the person who sent the bakery treat.
